Privacy and Security – Wine Cooler Shop UK

About our privacy policy

Wine Cooler Shop cares a lot about your privacy. We therefore only process data that we need for (improving) our services and we handle information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided by Wine Cooler Shop. These conditions are valid from 01/11/2020. When a new version is published, any previous versions will become invalid. This privacy policy describes the information about you that we will collect, what this information is used for and the conditions under which this information may be shared with third parties. We also explain how we store your data, how we protect your data against misuse and what rights you have with regard to the personal data you provide us.

If you have any questions about our privacy policy, you can get in touch with our contact person for privacy matters. You will find their contact details at the end of the privacy policy.

About data processing

Below, you can read about how we process your data, where we save it, which security techniques we use and who has access to your data.

Web store software and web hosting

WooCommerce

Our webshop has been developed using software provided by WooCommerce and uses a web hosting provider. Personal data that you make available to us for the benefit of our services will be shared with WooCommerce. WooCommerce has access to your data in order to provide us with (technical) support, and they will never use your data for any other purpose. They are obliged to take appropriate security measures based on our contractual agreement with them. These security measures consist of the use of SSL encryption and a strong password policy. Regular backups are made to prevent data loss.

Web hosting

Wine Cooler Shop purchases web hosting and e-mail services from one or more third parties. These third parties process personal data on behalf of Wine Cooler Shop and do not use your data for their own purposes. However, these third parties can collect metadata about the use of the services. This is not personal data. All parties have taken appropriate technical and organisational measures to prevent loss or unauthorised use of your personal data. They are obliged to maintain secrecy through our contractual agreement with them.

E-mail and mailing lists

Our website uses a third party to manage e-mail traffic from our website and to send out newsletters. All confirmation e-mails you receive from our website and web forms are sent through their servers. They will never use your name or e-mail address for their own purposes. You will see an “unsubscribe” link at the bottom of every e-mail which has been sent automatically by our website. If you click on this, you will no longer receive e-mails from our website. This can seriously reduce the functionality of our website! Your personal data will be stored securely by the third party we work with. They use cookies and other internet tools to provide insight into whether e-mails are opened and read. They reserve the right to use your data to further improve the service and to share information with third parties in this context.

Payment partners

We use a payment partner to handle (part of) the payments in our webshop. This payment partner processes your name, address and location details, as well as payment details such as your bank account or credit card number. Our partner has taken appropriate technical and organisational measures to protect your personal data but reserves the right to use your data to further improve their service and to share (anonymised) data with third parties in this context.

All the above-mentioned safeguards with regard to the protection of your personal data also apply to parts of their services for which they engage third parties. Your data will not be kept longer than permitted in the legal terms and conditions.

Shipping and logistics

If you place an order with us, it is our job to have your package delivered to you. We use different carriers to make these deliveries. It is therefore necessary for us to share your name, address and location details with the relevant carrier. The carrier uses this information for the sole purpose of fulfilling their contractual agreement with us. In the event that the carrier makes use of subcontractors, the carrier also will make your data available to these parties.

Invoicing and accounting

Wine Cooler Shop uses administration software and an administrative office to keep track of administration and accounting.

We share your name, address and location details and details regarding your order. This data is used for the administration of sales invoices. Your personal data will be sent and stored securely. The administrative parties we work with are obliged to maintain secrecy and will treat your data with confidentiality. They will not use your personal data for purposes other than those described above.

External sales channels

Marketplaces

We sell (some of) our products via other platforms. If you place an order via one of these platforms, the platform will share your order information and personal data with us. We use this information to process your order. We treat your data with confidentiality and have taken appropriate technical and organisational measures to protect your data against loss or unauthorised use.

Purpose of data processing

General purpose of processing

We only use your data for the benefit of our services. This means that the purpose of data processing is always directly related to the actions you perform. We do not use your data for (targeted) marketing. If you share information with us and we use this information to contact you at a later time – other than at your request – we will explicitly ask you for this. Your data will not be shared with third parties, other than to meet accounting and administrative obligations. All third parties are bound by confidentiality on the basis of the contractual agreement between them and us or an oath or legal obligation.

Automatically collected data

Data that is automatically collected by our website is processed with the aim of further improving our services. This information (for example your IP address, web browser and operating system) is not personal data.

Participation in tax and criminal investigations

In some cases, Wine Cooler Shop may be legally obliged to share your data in connection with government tax or criminal investigations. In such circumstances, we are obliged to share your data, but we will oppose this to the extent that we are legally able to do so.

Retention periods

We will retain your data as long as you are our client. This means that we will keep your customer profile until you indicate that you no longer wish to use our services. If you indicate that you no longer wish to use our services, we will also consider this as a request for deletion. Due to the relevant administrative obligations, we are required to keep invoices that contain your personal data, so we will still keep this data for as long as we are legally obliged to. However, employees will no longer have access to your client profile or documents that we have produced as a result of our relationship with you.

Your rights

Under applicable UK law, you as a data subject have certain rights regarding the personal data processed by us or on our behalf. We explain these rights and how you can invoke them below. In principle, we will only send statements and copies of your data to the e-mail address that we already have on record in order to prevent fraud. In the event that you wish to receive this data at a different e-mail address or, for example, by post, we will ask you to identify yourself. We keep records of completed requests. In the case of a request for deletion, we administer anonymous data. You will receive all statements and copies of data in the same machine-readable data format that we use within our systems. You have the right to file a complaint with the Dutch Data Protection Authority at any time if you suspect that we are using your personal data incorrectly.

Right of inspection

You always have the right to view the data that we process or have processed relating to your person or that can be traced back to you. You can submit such requests to our designated contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data, with an overview of the processors who have this data, stating the category under which we have stored this data, to the e-mail address known to us.

Right of rectification

You always have the right to amend the data that we process or have processed relating to your person or that can be traced back to you. You can submit such requests to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send a confirmation that the details have been amended to the e-mail address known to us.

Right to restriction of processing

You always have the right to limit the data that we process or have processed relating to your person or that can be traced back to you. You can submit such requests to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send a confirmation that the data will no longer be processed, until you remove such limitations, to the e-mail address known to us.

Right to transfer

You always have the right to transfer the data that we process or have processed relating to your person or that can be traced back to you to another party. You can submit such requests to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send statements or copies of all data about you that we have processed or that have been processed by other processors or third parties on our behalf to the email address known to us. In all likelihood, we will no longer be able to continue our service in this case because the secure linking of data files can no longer be guaranteed.

Right of objection and other rights

In some cases, you will have the right to object to the processing of your personal data by or on behalf of Wine Cooler Shop. If you object, we will immediately stop data processing pending the settlement of your objection. If your objection is well-founded, we will make statements and/or copies of data that we process or have processed available to you and then permanently discontinue the processing. You also have the right not to be subject to automated individual categorisation or profiling. We do not process your data in such a way. If you believe that this is the case, please contact our contact person for privacy matters.

Cookies

Google Analytics

Cookies from the American company Google are placed on our website as part of the “Analytics” service. We use this service to keep track of and receive reports on how visitors use the website. This processor may be obliged to provide access to this data in accordance with applicable laws and regulations. We will collect information about your browsing behaviour and share this information with Google. Google can interpret this information in conjunction with other datasets and thus track your movements on the internet. Google uses this information to offer targeted advertisements (Adwords) and other Google services and products.

Cookies from third parties

In the event that software solutions from third parties use cookies, this will be stated in this privacy statement.

Changes to the privacy policy

We reserve the right to change our privacy policy at any time. However, you will always find the most recent version on this page. If the new privacy policy has implications for the way in which we process previously collected data relating to you, we will notify you by e-mail.
